How The Leadership Think Tank handles personal information about members, prospective members, event attendees, referrers and website visitors.
The Leadership Think Tank
Effective: 25 September 2026
About this policy
The Leadership Think Tank (LTT, we, us, our) is an Australian executive peer advisory organisation. We run confidential peer groups for CEOs, Managing Directors, business owners and senior executives across Sydney, Western Sydney and Melbourne, and support members through group sessions, one-to-one coaching, guest speakers, events and member communications.
This policy explains how we handle personal information about members, prospective members, event attendees, referrers, website visitors and others we deal with. It reflects our obligations under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Our groups run on trust and confidentiality, so we take the handling of your information seriously.
Who this policy covers
This policy applies to personal information we collect about:
- Current and former members of our groups
- People considering membership, including those who book a Discovery Call or are referred to us by members or partners
- Attendees at our events, roundtables and public sessions
- Newsletter subscribers and recipients of member communications
- Visitors to our website
- Suppliers, contractors, Chairs, guest speakers and business partners
- People applying to work with LTT
What we collect
Depending on your relationship with us, we may collect:
Identity and contact information. Name, job title, company, work email and phone, and where relevant a preferred personal email or mobile.
Professional background. Career history, industry, business size, board and executive roles, and other information relevant to finding the right group for you. For prospective members this may draw on public sources such as LinkedIn, company websites and media coverage.
Referral information. When a member or partner introduces someone to us, we may record who made the introduction and why they thought it was a good fit.
Session and coaching content. Notes and material from group sessions and one-to-one coaching. This can include commercially sensitive information or personal reflections shared by members.
Financial information. Billing contact, ABN, and invoice and payment records for membership fees. Members pay by invoice and EFT, so we don’t collect credit card details.
Event information. Attendance, dietary requirements and other logistics for sessions and events.
Marketing and engagement data. How you interact with our emails and website.
Website and technical information. IP address, device and browser type, pages visited and how you use our site.
We don’t go looking for sensitive information as defined in the Privacy Act, such as health information. If a member shares it with us during coaching or a group discussion, we handle it with extra care and only use it for the reason it was shared.
How we collect it
Directly from you. When you enquire, book a Discovery Call, apply for or join a group, register for an event, subscribe to our newsletter or fill in a form on our website.
Through referrals. Most of our members come to us through introductions from existing members and partners.
From public sources. When we’re considering whether a group is a good fit for someone, we may look at LinkedIn, company websites, media and other public information.
From partners. When we run joint activity with partners such as the Western Sydney Business Connection (WSBC), we may receive contact details of people who have opted in to hear from them, in line with the partner’s own privacy notice.
Through our website and emails. Via cookies, Google Analytics and email tracking. See Cookies and analytics below.
If we collect information about you from someone else, we’ll tell you how we got it if you ask, and we’ll let you know ourselves where that’s practical.
Why we use it
We use personal information to:
- Work out whether a group is the right fit for a prospective member, and which group
- Run our program, including group sessions, coaching, events, guest speakers and member communications
- Respond to enquiries and look after our relationships with members, prospects and partners
- Send newsletters, event invitations and information about LTT where you’ve agreed to receive them or would reasonably expect them
- Understand and improve how our website, content and events are working
- Manage billing, payments and our own records
- Meet our legal, tax and regulatory obligations
Careful selection is central to how our groups work. Getting the mix right protects the value for every member, and that relies on us assessing fit properly before anyone is invited to join.
Confidentiality inside our groups
What members share in a group session stays in the group. This is a core commitment of membership, and every member agrees to it. LTT will not disclose a member’s contributions beyond their Chair and the LTT team members who need to know, other than as part of the ordinary running of the program, such as follow-up between a member and their Chair.
Who we share it with
Group Chairs. Each group is led by an LTT Chair, who has access to information about their members and prospective members so they can run the group and provide coaching.
Other members of your group. Basic professional details (name, role, company and background) are shared with others in your group. Members are expected to treat this in line with our confidentiality commitment.
LTT Directors and support team. For program management, communications, billing and coordination.
Service providers. We use trusted providers to run our operations, including website hosting, email and newsletter tools, customer relationship management, event booking, accounting and invoicing, cloud storage, video conferencing and analytics. They may only use personal information for the job we engage them to do.
Partners. If you engaged with us through a partner such as WSBC, we may share limited, relevant information with that partner in line with the terms you engaged with them on.
Referrers. If you were introduced to us, we may let the person who referred you know that we’ve been in touch.
Where the law requires or allows it. For example, to comply with a court order, respond to a regulator or protect our legal rights.
We never sell personal information.
Overseas disclosure
Some of our service providers are based outside Australia or store data on overseas servers. This commonly includes website hosting, email marketing, cloud storage, video conferencing and analytics providers, with data held in places such as the United States and the European Union.
Before using an overseas provider, we take reasonable steps to make sure they handle personal information in a way that is consistent with the APPs. If a provider doesn’t meet that standard, we won’t use them for personal information.
Automated decisions
We don’t use computer programs to make decisions about you that could significantly affect your rights or interests. Decisions about membership and group placement are made by people - our Chairs and Directors - after a conversation with you. If that ever changes, we’ll update this policy before it does.
Marketing communications
We send marketing communications where you’ve subscribed, you’re a member or prospective member, or you’ve otherwise engaged with us in a way that means you’d reasonably expect to hear from us.
Every marketing email has an unsubscribe link, or you can contact us using the details at the end of this policy. If you unsubscribe, we’ll still send messages directly related to your membership or anything else you’ve arranged with us.
Cookies and analytics
Our website uses two types of cookies:
- Essential cookies that make the site work, including session and security cookies.
- Analytics cookies that show us how visitors use the site so we can improve it. We use Google Analytics for this.
You can manage or block cookies through your browser settings. Some parts of the site may not work properly if you do.
Security
We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, and unauthorised access, change or disclosure. These include access controls on our systems, using reputable providers with appropriate security standards, encrypting our website traffic, and internal rules on how we handle sensitive material.
No system is completely secure. If we become aware of a data breach that is likely to cause serious harm, we will notify the people affected and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme.
How long we keep it
We keep personal information only as long as we need it for the purposes in this policy, or as the law requires. In practice:
- Member records are kept while you’re a member and for a reasonable period afterwards, so we can pick up where we left off if you return.
- Prospective member records are kept while we’re in conversation with you and for a reasonable period afterwards.
- Financial and tax records are kept for as long as Australian law requires (currently at least seven years).
- Newsletter subscriber records are kept until you unsubscribe or ask us to remove them.
When we no longer need personal information, we take reasonable steps to destroy it or de-identify it.
Your rights
Access. You can ask for a copy of the personal information we hold about you. We’ll respond within a reasonable time, usually within 30 days.
Correction. You can ask us to correct information that is out of date, inaccurate or incomplete.
Anonymity or pseudonymity. Where it’s lawful and practical, you can deal with us without identifying yourself. For most of what we do, such as membership, coaching and billing, we’ll need to know who you are. For a general enquiry, you often won’t.
Opting out of marketing. See Marketing communications above.
Making a complaint. See Complaints below.
To use any of these rights, contact us using the details at the end of this policy.
Complaints
If you have a concern about how we’ve handled your personal information, please contact us first so we can try to sort it out. We’ll acknowledge your complaint promptly and aim to give you a full response within 30 days.
